Arctic Light hotel & Arctic City Hotel

These are general terms of conditions used in Arctic Hotel Collection Hotels; Arctic Light Hotel (Arctic Light Hotel Oy/Ltd.) and Arctic City Hotel (City-hotelli Oy/Ltd.). The general terms and conditions below apply to all reservations and customers unless a special agreement has been made.

Terms and conditions are based on general terms and conditions written by Finnish Hospitality Association (MaRa) and Finnish consumer ombudsman. Hotels reserve the right to adapt/change room rates, terms & conditions, and payment terms.

1. GENERAL TERMS AND CONDITIONS
When reserving a room your name, address, arrival- and departure time and method of payment are required. A room reservation is binding once it has been confirmed verbally or in writing and you have received a reservation confirmation number. The hotel is entitled to apply different kinds of rules such as reservation fee or credit card guarantee in order to secure the reservation. Terms of cancellation are stated on the confirmation received either directly from the hotel or online reservation channel. In case you fail to arrive without cancelling your reservation or you wish to departure earlier the hotel may use cancellation charges as stated on the confirmation. Terms might differ from the general terms stated below. EXAMPLE OF TERMS OF RESERVATIONS RESERVED WITH BASIC, STANDARD OR FLEXIBLE RATE RESERVATION Free cancellation is available if the reservation is cancelled before 6:00 pm on the arrival date. If reservation is cancelled later or in case of no-show, then first night is charged as cancellation cost. Guarantee is required to keep reservation after 6:00 pm and without the guarantee, hotel may release the room for sale after 6:00 pm. To guarantee the reservation the hotel will need the following information: your name, credit card number, credit card expiry date, credit card CVC/CVV code, address, phone number and email address. The hotel may acquire your contact details verbally or in writing. EXAMPLE OF TERMS OF RESERVATIONS RESERVED WITH NON-REFUNDABLE RATES 100% deposit payment is charged to confirm reservation. If payment is not made in time the hotel will cancel your reservation automatically. After payment reservation cannot be cancelled free of charge and 100% of the deposit payment is held as cancellation charge if the reservation is cancelled or in case of no show or in any other reason you may not be able to use your reservation.

2. CANCELLATION AND INSURANCE
Terms of cancellation are visible before completing the reservation and for example, when a customer makes a reservation with non-refundable rates the customer also accepts the risk of not being able to cancel for free. Hotels do not accept cancellations without stated cancellation fees even with medical certificate or other documents or changes of plans. We recommend having travel insurance to cover any contingencies before making reservations or travelling.

3. ARRIVAL, DEPARTURE AND REGISTRATION
The hotel room is at your disposal from 3:00 pm on the day of arrival. Check-In can only be done by customers for whom the room is reserved for, and whose name the hotel has on the booking. You also must present a valid ID at check-in as well as a payment method to guarantee reservation and/or any extra services. In case the reservation has not been paid in advance it should be settled upon arrival at the hotel by cash or credit card and this will be deducted from the final bill. If the hotel is not given an approval for prepayment from your credit card, the hotel is entitled to require a deposit for additional services such as minibar. The amount of deposit is between 50-150€ On your departure day the room must be vacated by 12:00 noon. The hotel is entitled to apply exceptions to the check-in and check-out times stated above. For safety reasons, only registered and checked-in guests are allowed on private premises and the maximum capacity per room may not be surpassed.

4. PAYMENT METHOD
All hotels accept the most common credit/debit cards. Hotels are not obliged to accept foreign currency, vouchers, cheques or credit/debit cards unless the hotel has volunteered to do so.

5. CHILD AND EXTRA PERSON POLICIES
Extra person fees are applied when occupancy of room is over 2 persons. Children 0-3 years old stay free of charge with an adult in existing beds or baby cots. Children 4-12 years are charged children extra person fee when using existing beds in the room or extra beds. Children 13 years and over are priced as adults. Adults are charged extra person fees when using existing beds or extra beds. Different policies may apply when booking through a third party.

6. GUEST BEHAVIOUR AT THE HOTEL AND RESPONSIBILITY OF DAMAGES
We follow good manners and hotel rules at the hotel. In the event of breaking these rules, you may be immediately removed from the premises. In such cases you are still obliged to pay for the accommodation and additional services ordered. You are not eligible to claim a refund for payments already made. The customer is responsible for damages, such as smoking in the room, damage caused on purpose or through negligence to the room or other facilities, furniture equipment or to other customers or their property by the customer, by their guests or pets. Adults are responsible for their children and possible damage caused by their children. After check-in, the customer is responsible of the hotel room given to them until check-out and the customer's responsibility applies to any guests or accompanying guests, they allow access to the room. Hotel has the right to charge cost of damages from the customer according to general compensation of damages used in Finland. For safety reasons, only checked-in guests are allowed on private hotel premises such as hotel rooms and the maximum capacity per room may not be surpassed.

7. RECLAMATIONS
Any complaints or concerns about the reservation should be expressed to the reception staff immediately after they arise to fix the issue quickly.

8. RESPONSIBILITY ON YOUR VALUABLES
Your valuables can be stored in a safety deposit box in your room, or the hotel can store your valuables upon request. The hotel is entitled to collect a charge for storage of these items. In case the items you wish to store are exceptionally valuable you must notify the hotel before storing. The hotel may refuse to store this kind of valuables. The hotel is not responsible for valuables stored in a safety deposit box in your room. The hotel is not responsible for damage or disappearance of vehicles kept in the garage or the hotel’s parking area or valuables inside the vehicle.

9. RENTING HOTEL ROOMS FOR MINORS
Only a person over the age of 18 is allowed to make a reservation. The adult making a reservation for a person under the age of 18 will be held responsible for the minor, whether they accommodate with the minor or not. An underage person travelling alone will need a letter of consent signed by a guardian. The letter has to include the minor’s name, birthday and dates of arrival and departure. The name and contact information of a guardian are also required.

10. PETS
Pets are welcome in our hotels, and we charge a pet fee per night for pets; the fee includes up to three pets. You must always inform us in advance when bringing pets to the hotel, and the registered guest is personally responsible for their pet's well-being and any damage or costs it may cause. Pets must not disturb other hotel guests. There is a limited number of pet-friendly rooms, so we recommend booking your room well in advance of your trip.

11. GROUPS
Separate terms and conditions apply for group reservations of over 10 people or over 5 rooms. For group reservations please contact our sales.

12. APPLICABLE LAW
Hotels operate in Finland and are bound by laws of Finland. Any disputes arising or relating to the services shall be subjected to jurisdiction of Finnish courts and handled in District Court of Lapland.
